Northwestern's LOC program needs an admin

The Masters of Learning and Organizational Change department in which I am an adjunct needs a Department Assistant.  The job has been posted to the NU Jobs Page as requisition number 009960 (under External opportunities).  Details copied below.

MS LOC Department Assistant

The Department Assistant 1 provides primary administrative, faculty, and student services support to the Master's Program in Learning and Organizational Change within the School of Education and Social Policy at Northwestern University.

The scheduled work hours for this position are 37.5 per week. Because this program offers evening courses, the regular schedule for the Department Assistant will require working Monday through Thursday until 6:15 p.m. This schedule may change in June, July, and August while the program is not in session. The exact work schedule can be negotiated based on the needs of a specific candidate. Also, occasional events requiring attendance (typically two per quarter) are held on Saturdays or later into the evenings and possibly located off-campus (e.g. downtown Chicago). There will be sufficient notice given whenever these special events occur. Typically, special events outside the regular work schedule will be addressed via alternative time off in the same pay period, as opposed to over-time.

Selected Responsibilities include:

  • Assuring the program office functions smoothly, staffing telephones and visitor reception
  • Providing basic advising to prospective and current students about the program, including information about application and admission, matriculation, curriculum requirements, etc.
  • Managing day-to-day aspects of admissions process, tracking applicants, routing files, updating records, communicating critical and time-sensitive information between applicants, staff and faculty, and overseeing prospective student visits
  • Serving as a general resource to students "navigating the system", including helping students register for courses, drop/add, and disseminating information about program and University deadlines
  • Helping prepare/produce course materials, such as syllabus, course packs, etc., for the program, in both book/paper form as well as e-form
  • Supporting all marketing and outreach activities of the program, including document preparation, production of recruiting materials, special event announcements, including drafting text, helping proofread or edit, and using technology tools such as Word, Excel, PowerPoint, and Goldmine (client tracking) in these efforts
  • Coordinating meetings and events, including producing and distributing events, securing facilities, making arrangements for catering, and preparing schedules/agendas etc. (Events include seminars and symposia, prospective student visits, graduate student special events, committee meetings, etc.)
  • Assisting with generating reports and other documents, e.g. monthly report on prospective student inquiries and quarterly student directories

Minimum Qualifications:
A bachelor's degree preferred or the equivalent combination of education and experience from which comparable knowledge and abilities can be acquired; two years' + work experience in an academic, or office setting, with an emphasis on support roles and customer service; demonstrated efficiency, collegiality, and customer focus; ability to facilitate open and effective communication, cooperation and teamwork.

Preferred Qualifications:
Ability to successfully use multiple software programs, such as Microsoft Office, including PowerPoint, Word, Excel, and Access, email, web browsers, and Peoplesoft; interest and ability at developing self and others; demonstrated innovative skill.
